Compliance OS for waste operators PermitStack by 25 Fathoms

Every permit.
Every site.
One screen.

Built for multi-site waste operators running 10 to 25 permitted facilities. Track every renewal, every inspection, and every required doc in the one place your team will actually open.

Renewal alert Cedar Bluff CDLF renews in 22 days. Application packet is staged in SharePoint.

The reality on site

Excel and Outlook are not a compliance system.

  • Permits live in folders no one searches anymore. SharePoint became a graveyard.
  • Renewal dates sit on one calendar. When that person leaves, the calendar leaves with them.
  • Inspections live in email threads. Three replies deep, attached PDFs, no audit trail.
  • Filing knowledge is in one person's head. Turnover resets the clock every time.
  • When the inspector shows up, the team spends half a day scrambling for documents they technically had all along.

What you get

One register. One inbox. One source of truth.

PermitStack ships with the modules a 10-to-25 site operator needs on day one. No buildout. No EHS-platform retrofit. Configured around how multi-site waste actually runs.

Permit register

Every active permit, by site, by facility type, with status and renewal date. Filter, group, export. 90/60/30/14/7-day alert windows you can actually trust.

Live

Document repository

Tagged by site, category, and filing date. Links into SharePoint so docs stay where your DLP, retention, and audit policies already live.

Live

State-specific reg sets

Pre-loaded requirements per facility type. MSWLF, CDLF, LCID, Transfer, MRF. Reg packs live in 10 states across the Southeast and Midwest.

Live

Filing SOP module

The filing playbook codified, not stored in someone's head. Configurable per state and facility. Survives turnover.

Live

Role-based portal

Each site lead sees their own permits and tasks. Corporate sees the rollup. Auditors get a clean read-only view with one link.

Live

Gap analysis

Dashboard showing what's missing, where. Which sites are short which documents, which renewals are unstaffed, which SOPs were never closed out.

Coverage

Built for the facility types you actually run.

Pre-loaded regulatory templates per facility type. We know MSWLF, CDLF, and LCID are different problems. The product reflects that.

MSWLF

Municipal solid waste landfill

Subtitle D, groundwater monitoring, gas wells, financial assurance. Templates per state.

CDLF

Construction & demolition

Cover requirements, load checks, asbestos protocol, quarterly reporting.

LCID

Land-clearing & inert debris

Lower regulatory load, still real paperwork. Often the site no one tracks.

TRNSF

Transfer station

Hours of operation, weighing, scale calibration, vector control logs.

MRF

Materials recovery

Air quality, fire-suppression, OSHA crossover, contamination reporting.

Why this, why now

"I spent months fixing compliance inside a multi-site NC waste operation. Permits in folders, deadlines in calendars, inspections in someone's head. I built PermitStack so any regional operator can run permits the right way, without a $200K EHS platform or another spreadsheet."

Questions, asked plainly

FAQ

Is this another EHS platform?
No. EHS platforms are built for safety and incidents across many industries, then bolted onto compliance. PermitStack starts at compliance for waste operators specifically. Different data model, different defaults, different vocabulary.
Do I have to move my documents out of SharePoint?
No. If your shop runs on Microsoft 365, your docs stay in SharePoint. We store metadata and links. Your DLP, retention, and audit policies stay intact. SharePoint sync is an optional $1,500 setup add-on.
Which states are covered?
Ten states are live today: North Carolina, South Carolina, Georgia, Tennessee, Florida, Alabama, Michigan, Ohio, Kentucky, and Indiana. Each ships with its state agency's reg packs per facility type, plus the city and county rules for the sites in scope. Operate somewhere we don't cover yet? We'll build the reg pack as part of setup.
How long does onboarding take?
Setup runs four to six weeks for a 10-to-25 site operator. We populate the permit register from your existing records, upload or link documents, and run two training sessions. Most teams are live before the next quarterly filing.
What if I lose the person who knows the filing process?
That is the original problem this product exists to solve. The Filing SOP module codifies the playbook per state and facility, with owners and due dates attached. Turnover stops resetting the clock.
Can our auditors use it?
Yes. Generate a read-only auditor link scoped to the sites and time window you choose. They get the register, the documents, and a clean audit trail. You get to keep working.

Stop scrambling when the inspector shows up.

30-minute demo. We'll walk through the register on a sample multi-site operator (10 to 25 facilities). No slides, no salesperson chasing you afterward.
